Job Summary:
The Hotel Night Auditor is responsible for ensuring the accurate and timely completion of all front desk and accounting functions during the overnight shift. This position requires exceptional attention to detail, strong organizational skills, and the ability to work independently. The Night Auditor plays a critical role in providing exceptional guest service, maintaining financial controls, and preparing daily reports for hotel management.
Responsibilities:
- Front Desk Operations:
- Conduct the check-in and check-out processes for guests arriving and departing during the night shift.
- Provide excellent customer service to guests, addressing any inquiries, requests, or concerns they may have.
- Handle guest issues and resolve problems professionally and efficiently.
- Manage guest reservations and ensure accuracy in the reservation system.
- Assist with guest requests such as wake-up calls, room changes, and additional amenities.
- Night Audit Functions:
- Perform accurate and thorough auditing of all financial transactions, including guest folios, cash handling, and credit card transactions.
- Reconcile daily revenue and charges, ensuring the accuracy of postings and resolving any discrepancies.
- Prepare and distribute daily reports such as the Night Audit Report, Revenue Report, and Occupancy Report to hotel management and relevant departments.
- Balance and close the day's financial activities by preparing and distributing the Daily Flash Report.
- Conduct a thorough audit of all operating departments to ensure compliance with hotel policies and procedures.
- Accounting and Financial Controls:
- Maintain and update financial records, including guest ledger accounts, accounts receivable, and accounts payable.
- Process and review invoices, ensuring accuracy and completeness before forwarding them to the accounting department.
- Assist with the preparation of month-end financial reports and statements.
- Monitor and control cash handling procedures, including the safe and secure storage of cash and other valuables.
- Comply with all hotel accounting and financial policies, procedures, and controls.
- Night Security and Safety:
- Maintain a safe and secure environment for guests and employees during the night shift.
- Monitor and control access to the hotel, ensuring the safety and security of guests and property.
- Respond to emergencies, such as fire alarms, medical situations, and security breaches, following established protocols.
Qualifications and Skills:
- High school diploma or equivalent; additional education in accounting or hospitality is preferred.
- Previous experience in front office operations or night audit roles is desirable.
- Strong mathematical and analytical skills with attention to detail.
- Proficient computer skills, including knowledge of hotel property management systems and accounting software.
- Excellent communication and customer service skills.
- Ability to work independently and prioritize tasks in a fast-paced environment.
- Knowledge of hotel operations, policies, and procedures.
- Familiarity with local regulations and safety protocols.
Working Conditions: The Hotel Night Auditor typically works during the overnight shift, which may include weekends and holidays. This position requires the ability to work in a standing position for extended periods and to lift and carry moderate weights. The night auditor may be exposed to stressful situations and must be able to handle emergencies calmly and effectively.
