Description

Under occasional supervision, performs responsible legal secretarial, clerical and bookkeeping work in support of efficient and effective department operations, including the preparation and maintenance of accurate Traffic Court records. Performs related work as assigned. Reports to the Administrative Service Manager.

ย Establishes, maintains and assists with disposing of case files.
ย 
ย Schedules court dates; notifies appropriate parties; pulls and prepares files for court sessions; prepares daily docket reports.
ย 
ย Prepares, processes, indexes, files and/or submits/transmits court documents and records, including but not limited to jury trial requests, insurance documents, NRVC forms, court orders, court notices, tickets, warrants, dispositions, judgments, summonses, complaints, subpoenas, appeals, orders of release, court appearance certificates, warrant recalls, etc.; prepares routine records, ledgers, reports, legal notices, correspondence, etc.; secures all records as required.

ย Assists attorneys, defendants, court personnel, law enforcement personnel, magistrates, and others in completing various legal forms as required for court, and in obtaining information and copies of court documents.

ย Enters court / case information into computer database; generates computer reports as required.
ย 
ย Establishes and maintains an effective filing system for administrative and legal records and reports.
ย 
ย Answers the telephone; provides accurate information to callers and/or forwards calls to appropriate personnel; greets and assists office visitors.
ย 
ย Receives and responds to public / County staff inquiries, complaints and requests for assistance with regard to court policies and procedures.
ย 
ย Calculates, receives and posts fines.
ย 
ย Performs other clerical work, including but not limited to typing correspondence, copying and filing documents, retrieving files, sending and receiving faxes, maintaining supply inventory, etc.
ย 
ย Refers to policy and procedure manuals, computer manuals, laws/codes/ordinances, directories, etc.
ย 
ย Operates a variety of equipment such as a computer, printer, typewriter, fax machine, copier, calculator, telephone, etc.
ย 
ย Uses clerical and computer supplies.
ย 
ย Interacts and communicates with various groups and individuals such as the immediate supervisor, co-workers, other County personnel, law enforcement personnel, attorneys, court personnel, defendants, plaintiffs, various other government agencies, and the general public.

ย Performs light housekeeping duties as necessary in the office and court rooms.
ย 
ย Performs related duties as required.

ย REQUIRED EDUCATIONAL BACKGROUND AND JOB-RELATED EXPERIENCE:
ย Minimum Level of Job-Related Education:
ย Requires an Associateโ€™s degree in paralegal studies, secretarial science or related field.
ย 
ย Minimum Amount of Job-Related Experience:
ย One to two years of experience in office administration and support, preferably in a legal or court environment, or an equivalent combination of education, training and experience that provides the required knowledge, skills and abilities.ย 
ย 
ย Minimum Level of any Required Qualifications, Licenses, Certificates, Registrations, or any Relevant Knowledge, Job Skill or Equivalent Experience:
ย Tasks involve the ability to exert light physical effort in light work, typically involving some combination of stooping, kneeling and crouching, and the lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.
