Description

Duties and Responsibilities:

  • Lead and oversee all aspects of event planning, including conceptualizing, organizing and executing events from start to finish.
  • Work closely with clients to understand their vision, needs and budget for events.
  • Develop detailed event proposals, including time lines, budgets and menus.
  • Coordinate with other departments (i.e. kitchen, operations, marketing) to ensure seamless event execution.
  • Build and maintain strong relationships with clients, ensuring a high level of satisfaction and repeat business.
  • Develop and implement strategies to increase event and catering revenue.
  • Solicit new business for catering, conventions, conferences, meetings, etc. business via, and not limited to, sales calls either by phone, personal visits or site visits.
  • Book meeting and events with new and existing clientele.
  • Create proposals, conduct presentations and respond to clientele inquiries in a timely manner.
  • Contract and fulfill the needs of clientele with signed agreements.
  • Follow-up with clients before and after a proposal/contract is sent out.
  • Prepares action plans for effective search of sales leads and prospects in both catering and corporate group sales.
  • Maintain an accurate and up to date Pace Report of production against budget and previous year.
  • Hold team sales meetings to review ongoing Pace production, opportunities, revenue maximization, and event profitability.
  • Recap sales meeting minutes with location GM's and Director of F&B.
  • Create and annual business plan with sales team for each location including SWOT analysis.
  • Conduct a sales team competitive shop to understand the marketplace competition.
  • Follow sales policies and procedures are communicated by Director of F&B and GM/Head Pro.
  • Make weekly sales call goals.
  • Work closely with Executive Chef and Director of F&B with menus, pricing, etc.
  • Conduct site tours for potential clients.
  • Attending trade shows, training as needed.
  • Join associations to network that can drive events.
  • Achieve and exceed individual and team annual goals as established by the annual Marketing Plan and working Action Plans.
  • Achieve budgeted revenues and expenses and maximize profitability related to the sales department.
  • Maintain and correct procedures for credit control, financial transactions, and security of financial assets.
  • Maintain all sales and catering records in sales and catering software program.

  • Must be able to work alone and/or with a team without supervision.
  • Serve as Manager on Duty when needed.
  • Minimum 45-hour work week is an expectation as salary-exempt manager.
  • Be visible at events to support team and ensure client expectations are met from the sale.
  • Adhere to all policies and procedures according to the company's employee handbook.
  • The ability to listen, communicate, and understand information and ideas.
  • The ability to verbally communicate information and ideas in a clear, respectful and professional manner.
  • Assist upper management with any reasonable requests that they may have.

Qualification, Requirements, Experience, Education:

  • Minimum of 5 years experience in Event Planning & Catering management with at least 3 years in a leadership role.
  • Minimum of $3 million in sales managed in a Director or Assistant Director role.
  • Strong sales budget acumen and P&L knowledge.
  • Strong understanding of event management platform analytics for creating action plans.
  • Ability to coach team members.
  • Strong knowledge of market segments to include weddings, corporate, SMURF & how to target.
  • High attention to detail and organizational skills.
  • Must have fundamental computer skills and understanding of Microsoft Office including Excel, Word and Publisher.
  • Strong knowledge of point-of-sale systems.
  • Ability to establish and maintain strong, effective relationships with customers and vendor partners.
  • Excellent oral and written communication skills.
  • Understanding of internal controls.
  • Maintain confidentiality of information.

Work Environment:

  • This position may require working irregular hours, including evenings, weekends, and holidays depending on event schedules.
  • Must be able to lift 25 pounds at times.
  • May require prolonged periods of standing, walking, or sitting at a desk.
  • Ability to interact well with others in a team environment.
