The Administrative Assistant

Essential Duties and Responsibilities:

  • Enter all prospective foster families' inquiry status to open
  • Track licensed families in Facilities, Families, and Caregivers to open and give appropriate assignments
  • Assign staff as appropriate for both children and families.
  • Enter, update, and maintain licensing and re-licensure dates, licensed capacity and real beds, changes in licensing such as addresses, email, and phone numbers.
  • Enter reviews and inspection dates for licensed families.

Assist in processing background checks

  • Prepare Envelopes, Copy and Mail for Sled and CPS

Fire Inspections

  • Monitor fire inspections requests

Maintain Forms and Filing

  • Maintain Master Foster Parent Directory (list of names, addresses and phone#, etc.)
  • Establish and maintain a master list of all SCDSS Caseworkers and Supervisors

Foster Family Orientation

  • Ensure copies of licensing packet materials in jackets for Orientation
  • Create sign-up sheet for registered families
  • Set up for Orientation

Other

  • Maintain Personnel files for staff
  • Assist with Support Services to Foster Parents
  • Assist in setting up training opportunities for foster parents
  • Prepare files for CPA Annual Recertification
  • Set up for Staff Meetings, take minutes and keep record of all meetings
  • This is a full-time position that will require a significant amount of telecommuting/ remote working. This position requires individuals to perform their work from locations other than their employer's physical office, as approved by their supervisor. Locations may include, but are not limited to, foster family homes, home office, family court, hospitals, or DSS. Individuals will be obligated to travel to their physical office for meetings, supervision, paperwork or as scheduled/deemed necessary by their supervisor.
  • Other duties may be assigned.

Essential Requirements/Certifications:

  • High School Graduate; GED
  • Must have computer skills and familiarity with Microsoft, Word, Excel, etc.
