Job Responsibilities

Procurement Specialist I
The Department of Administration's Division of State Agency Support Services is seeking a Procurement Specialist I to join the team. Under general supervision, this position will serve in a critical ancillary role for the compliance team in support of all critical functions that require time-sensitive response and attention to detail including vehicle acquisition and disposal requests, titles of all state vehicles, Commercial Vendor Repair Program (CVRP) billing, permanent assignments, confidential tags, state seal exemptions, and adding equipment to FleetWave database.

Responsibilities of the Procurement Specialist I:
  • Perform in ancillary role supporting the processing of all vehicle transactions ensuring reviewed for accuracy and compliance and proper justification for the purchase. Verify that state and federal laws pertaining to the procurement policies have been followed.
  • Monitor Confidential Tag expiration dates and submits renewal requests to the South Carolina Department of Motor Vehicles (DMV) on a monthly basis. Prepare required documents to obtain license tags and titles for vehicles received by state agencies.
  • Verify information on documents and issue vehicle tags/registration through the DMV substation at State Fleet Management (SFM). Forward paperwork for tags that cannot be issued from SFM to DMV within one (1) business day.Β 
  • Monitor confidential tag expiration dates and submit renewal requests to DMV on a monthly basis.
  • Work to audit critical support functions concerning titles, permanent assignments, confidential tags, state seal exemptions, and adding equipment to FleetWave, Maintain accurate and current titles for all state-owned vehicles.
  • Utilize available references and resources to ensure correct data is maintained in the fleet management information system and title requests (requires critical time sensitive response). Assist with information for annual MVMR, ePACT reports, fleet reconciliation and yearly renewal of statewide term contracts for vehicles.
  • Perform a vehicle reconciliation between the South Carolina Enterprise Information System and FleetWave on a monthly basis.Β 
  • Serve as a backup for receptionist as needed.

Minimum and Additional Requirements

  • A high school diploma and work experience directly related to the area of employment. A bachelor's degree may be substituted for the relevant work experience.
Additional Requirements:
  • Must be computer literate.
  • Skilled at extensive data input, and use of Microsoft Word, Excel, and Access.
  • Position may be required to work during emergency situations.Β 
  • Must possess a valid South Carolina Class D Driver's License.
  • May be occasionally required to work overtime.Β
