DescriptionThe Regional Support Specialist (RSS) provides critical administrative, operational, and customer service support to our Coldwell Banker Real Estate branch offices, leaders, and agents. The RSSโฏ will workโฏ primarily in one location and will occasionally be asked to support other local offices. They will provide support digitally and in-person including, but not limited to, processing agent transactions, acting as a liaison with our different departments and business partners, general office administration & customer service. In addition, they are responsible for ensuring the agents are supported in their marketing efforts especially social media strategy and supporting our marketing programs.ย
This position plays a significant role in driving the success of our key principle of helping our agents live exceptional lives.ย
Responsibilities:ย
Office Organizationย
- In collaboration with our facilities and IT partners, ensure all items in the office remain in working orderย
- Ensure needed office supplies are sufficiently stocked and organized, mail is distributedย
- Greet and direct agents/customers as neededย
Agent Supportย
- Provide white-glove service for agents and clients visiting our offices, promoting the teams available to support them in their businessย
- Support Agents with any technology, process, or operationally related questionsย
- Promote a friendly, inclusive office culture that reinforces our agent value propositionย
- Work with Agent Onboarding Team, as needed, to support agent onboarding processย
Transaction Supportย
- Ensure our agentsโ transactions are complete for compliance, efficiently and accurately processed, commission payments are timely, and adjustments are avoidedย
- Scan physical checks, as neededย
- Point of contact, as needed, for following up on missing documentation or escalation of transactional issuesย
- Database entry and updates โ MLS, Transaction Managerย
- Systems review of Trident and Transaction Manager, issue resolutions submitted through OnBaseย
Branch Leader Supportย
- Support Branch Manager, as needed, with maintaining office promotional items, sales meetings, new agent orientations, supporting office culture, and light social media marketingย
Minimum Qualifications:ย
- 1 or more years customer service experience preferred; Prior Real Estate office experience preferredย
- Experience with marketing support, including marketing tools and social media preferredย
- Strong written and verbal communication skillsย
- Technologically proficient in all areas including, but not limited to, familiarity with various operating systems on PCs and Macs and ability to navigate computer softwareย
- Proficiency with Microsoft Officeย
- Ability to communicate effectively with different audiences, including agents, branch managers, and operational support teamsย
- Customer focused, delivery oriented, ability to multi-taskย
- Willingness to be โnimbleโ and adjust priorities, as neededย
- Ability to travel to additional offices in the region on an as needed basisย
