General Job Description: The Transportation Dispatch and Timekeeping Assistant performs a variety of activities, including radio monitoring, dispatch communication, and phone communication. This position also provides support to supervisors and transportation staff in supporting district transportation routing programs. In addition, the position assists with reviewing and monitoring bus driver time punches in the District’s electronic timekeeping system to help ensure accuracy, compliance with District procedures, and readiness for payroll processing.

The position will require a workday schedule beginning at midday to cover Dispatch responsibilities during the late afternoon.

Qualifications:

  • High School Diploma required. Associate’s Degree in a related field preferred.
  • CDL with P&S endorsements required, or attainable.
  • Knowledge of Fort Mill and the surrounding areas is desired.
  • Experience with computer software programs preferred, including spreadsheet and communication applications.
  • Minimum of five years of responsible Transportation experience; or an equivalent combination of training and experience which provides the required knowledge, skills, and abilities.
  • Excellent verbal and written communication skills.
  • Problem-solving may be required to identify issues and assist with creating action plans, including independent interpretation of guidelines.

Performance Responsibilities

Transportation Dispatch Responsibilities:

  • Analyzes available resources against immediate requirements for drivers and/or buses within the fleet to meet ongoing demand for providing transportation services to students and schools.
  • Assigns staff and makes adjustments to bus routes to ensure on-time bus service.
  • Effectively communicates both orally and in writing with the transportation central office, schools, and school bus drivers.
  • Maintains a calm, professional demeanor during stressful or emergency situations.
  • Ensures accuracy and clarity of all dispatch communications in a fast-paced environment.

Timekeeping and Administrative Responsibilities:

  • Reviews and monitors bus driver time punches in the District’s electronic timekeeping system for accuracy and completeness.
  • Identifies and assists in resolving timekeeping discrepancies, including missed punches, incorrect entries, and scheduling conflicts, in accordance with District procedures.
  • This position performs timekeeping review and verification as part of established internal controls. Responsibilities are limited to reviewing, monitoring, and assisting with corrections to time entries. This position does not have the authority to approve payroll, authorize compensation, or make final pay determinations. All payroll approvals are subject to supervisory and payroll department review in accordance with District internal control procedures.
  • Communicates with bus drivers and supervisors regarding timekeeping questions or corrections.
  • Assists supervisors by preparing timekeeping information for review and payroll processing.
  • Maintains various spreadsheets and databases related to transportation personnel, schedules, and timekeeping records.
  • Maintains strict confidentiality of employee payroll and personnel information.

General Responsibilities

  • Assist supervisors with transportation records and reports required by theΒ South CarolinaΒ Department of Education (SCDE).
  • Anticipates work to be completed and initiates appropriate actions with minimal supervision.
  • Must be detail-oriented and accurate to ensure that messages are received and understood in an often busy and stressful atmosphere.
  • Ability to maintain high standards of accuracy and confidentiality in exercising duties.
  • Ability to work independently on confidential assignments and administrative tasks.
  • Performs other duties as assigned by the supervisor.

Terms of Employment: 240 Annual days per year (8 hours per day), non-exempt

Salary: Fort Mill School District S4a Salary Schedule, based on a formula that considers background, education, and work experience.

Β 

Evaluation: Performance on this job will be evaluated annually in accordance with provisions of the School Board’s Policy on evaluation of non-certified personnel.
