Position Summary:

We are seeking a highly organized and customer-focused Sales Support Representative to provide comprehensive administrative and logistical support to the plant's Regional Sales Representatives. This role is essential for streamlining the sales process for local and regional accounts, ensuring accurate order entry, and maintaining strong client relationships. The ideal candidate will be detail-oriented, proficient in order management systems, and capable of managing multiple priorities in a fast-paced environment. Duties include preparing quotes, processing orders, coordinating with plant production and logistics, and managing customer inquiries for the plant's territory.


ESSENTIAL FUNCTIONS

1. Process and manage all incoming customer orders for the plant's territory, ensuring accuracy of product specifications, pricing, and delivery details.

2. Generate, track, and follow up on sales quotes, proposals, and bids in collaboration with the Regional Sales Representatives (RSR/SSR).

3. Serve as the primary internal contact for regional customer inquiries regarding order status, product availability, shipment tracking, and timelines.

4. Coordinate directly with the Plant Production Manager and Logistics Coordinator to ensure manufacturing and local shipping schedules align with customer commitments.

5. Maintain accurate and up-to-date customer records, sales pipeline data, and order history within the CRM and company management systems.

6. Manage sales correspondence, including preparing product submittals, sales packets, and technical documentation for regional client use.

7. Process and track sample requests, coordinating preparation and shipment to regional customers and prospects.

8. Assist with local sales reporting, including compiling weekly/monthly sales figures and performance metrics specific to the plant's territory.


PERFORMANCE MEASURES

1. Accuracy of order entry and fulfillment (zero processing errors).

2. Timeliness and professionalism in resolving regional customer inquiries and issues.

3. Organization and accuracy of customer and order data in the CRM/management system.

4. Effectiveness in supporting the RSR/SSR team to meet regional sales targets.


DAILY TASKS

1. Review and process new sales orders and change requestsΒ 

2. Communicate daily with the plant's production and logistics teams regarding order status and local schedules.

3. Respond to regional customer and sales team emails and phone calls regarding quotes and open orders.

4. Update sales reports and dashboards with the latest regional order and delivery information.

5. Prepare documentation (e.g., Certificates of Compliance, submittals) required for local projects.

6. Ensure all sales files and physical documentation for the plant's region are organized and audit-ready.



Requirements

REQUIRED EXPERIENCE / TRAINING / LICENSURE

1. Proven experience (2+ years preferred) in a sales support, customer service, or administrative role, preferably in a B2B setting.

2. Strong proficiency with order processing software, CRM systems (e.g., Salesforce), and Microsoft Office Suite (especially Excel).

3. Excellent verbal and written communication skills and a professional, patient demeanor.

4. Strong organizational skills, with the ability to manage multiple tasks and strict deadlines.

6. Basic knowledge of manufacturing or construction industry terminology is a plus.


WORKING CONDITIONS / PHYSICAL DEMANDS

1. Primarily office-based work, with prolonged periods of sitting and computer use.

2. Occasional movement to the production floor to coordinate order/shipment status.

3. Ability to lift up to 10 pounds occasionally (files and office supplies).

4. Professional office environment with minimal exposure to manufacturing elements.
